Program Coordinator
Full-Time | Harlem, NY | Reports to Executive Director
This is a full-time on-site role for an Assistant Program Manager located in New York, NY. The Assistant Program Manager will assist with program operations, coordination of dance classes, and scheduling performance opportunities. Responsibilities include managing communications with instructors, families, and volunteers, overseeing program logistics, and contributing to the planning and execution of events. The role requires someone who can act as a liaison between staff, participants, and the broader community while ensuring smooth program operations. This role sits at the intersection of student programming, community partnerships, and organizational operations. The ideal candidate is proactive, detail-oriented, and genuinely excited about expanding dance opportunities for girls in Harlem.
Key ResponsibilitiesProgramming & Performances
- Actively seek out dance-related performance opportunities in the Harlem community and beyond, keeping the mission of equal participation central
- Manage and coordinate all external performance opportunities, including logistics, communication with partner organizations, and student preparation
- Co-lead preparation for the annual recital, including costumes, music, and family communications
- Co-lead preparation for summer camp programming, including planning, staffing, and enrollment
- Sub dance classes as needed to ensure program continuity
- Oversee the day-to-day management of after-school programs, ensuring smooth operations and a positive experience for students and families
- Serve as a point of contact for families and partner schools regarding after-school programming
- Serve as the contact for scholarships at ATDF and other dance schools
- Coordinate the summer scholarships that our girls have the opportunity to receive
- Oversee interns, including onboarding, task assignment, supervision, and feedback
- Maintain organization of the storage room
- Take initiative to identify and resolve operational issues — if something needs fixing, either address it directly or ensure the right person is called in

- Parent Observation & Participation Week (Winter):
A designated week where families are invited into the studio to observe and engage in classes, strengthening connection and transparency. - In Her Shoes Week (Spring):
A special programmatic week for parents and caregivers to participate in classes. It’s their turn! - Bring a Friend to Class Week (anytime)
A community-building initiative where students invite peers to experience classes, supporting recruitment and expanding program reach. - Teacher Appreciation Events (December & June):
Seasonal gatherings and recognition efforts that celebrate teaching artists and reinforce a strong, supportive staff culture. - Tap & Tapas – Annual Benefit (October):
Along with E.D. and board, coordinate Groove With Me’s signature fundraising event, bringing together chefs, supporters, and community members to raise essential funds and highlight program impact. - Annual Recital (June):
Alongside the program staff, spearhead the culminating performance that showcases student growth, artistry, and achievement for families and the broader community.

- Fluency in Spanish is non-negotiable
- 2–4 years of experience in event planning, program coordination, or a related field
- Strong organizational and project management skills with attention to detail
- Ability to manage multiple priorities and deadlines effectively
- Excellent written and verbal communication skills
- Experience in nonprofit, arts, youth development, or community-based organizations preferred
- Availability to work evenings and occasional weekends
- A proactive, solutions-oriented approach
- Strong interpersonal skills and the ability to build relationships across stakeholders

Operations Manager
The Operations Manager is fundamental to ensuring that Groove With Me’s infrastructure functions reliably, efficiently, and in full compliance. This is a highly accountable role that coordinates human resources, technology, facilities, legal and regulatory requirements, and core administrative systems.

- Flag and coordinate the facility’s maintenance, repairs, and upkeep
- Coordinate with vendors for cleaning, HVAC, fire alarm, and other building systems
- Ensure that IT functions effectively and efficiently, troubleshoot issues, and coordinate with external IT vendors as needed

- Accounts payable & receivable
- Log all funding streams for the bookkeeper and the database
- Work with the bookkeeper & board finance committee
